HomeMy WebLinkAboutLBMinutes_2019_03_18BROOKINGS PUBLIC LIBRARY BOARD OF TRUSTEES March 18, 2019 MEETING MINUTES The Board of Trustees of the Brookings Public Library met on Monday, March 18, 2019 at 5:30 pm in the Historical Room at the Brookings Public Library. MEMBERS PRESENT: Deb Waltman, Sarah Meusburger, Kathy Miller, James Rice OTHERS PRESENT: Ashia Gustafson, Jen Anderson, John Kubal 1. Call to Order Deb Waltman called the meeting to order. 2. Approval of Agenda Deb Waltman called for approval of the meeting agenda. Kathy Miller moved to approve the meeting agenda. James Rice seconded. Motion carried. 3. Approval of Minutes Deb Waltman called for approval of the minutes from the February 14, 2019 meeting. Kathy Miller moved to approve the meeting minutes. Sarah Meusburger seconded. Motion carried. 4. Old Business 4.1 Coffee Shop Ashia Gustafson recommended to the Library Broad members to surplus the Coffee Shop machines and cabinets before the new carpet. Ashia Gustafson noted that we have not had a tenant in the Coffee Shop for over a year now. The Library Board members discussed the topic and answered questions about the Coffee Shop with John Kubal. James Rice moved to remove the Coffee Shop and have the Library Director write up a plan for the space. Kathy Miller seconded. Motion carried. 4.2 Book Drop Ashia Gustafson apprised the Library Board Members about problems still happening with the outside book drop box. The Library Board discussed ideas and feedback about the outside book drop. Some issues with the outside book drop box: • Locking mechanism doesn’t work like it should all the time. • Not protecting books from weather as it needs to (snow was found in the book drop multiple times, which damaged books). • Placement of book drop causes back-up of traffic on 3rd Street; this has been a safety concern with other city entities (no other suitable placement for the outside book drop). • Safety hazard to staff (staff have slipped on icy sidewalks when retrieving books). • Book drop box is rusting. James Rice moved to remove the outside book drop box, add appropriate signage to a parking spot (5 minutes book drop parking only), and provide notice of change in book drop to the community. Sarah Meusburger seconded. Motion carried three to one (3-1). 4.3 Website Ashia Gustafson presented the new website to the Library Board members. Everything is ready to make the new website live. Ashia Gustafson will inform the community about the new website. Sarah Meusburger moved to approve and make the new website live. Kathy Miller seconded. Motion carried. 5. New Business 5.1 Approval of Bills The Library Board members discussed the 2019 bills and expenditures. Kathy Miller moved to approve the February 2019 bills. James Rice seconded. Motion carried. 5.2 Budgets-Wages Ashia Gustafson presented the part-time library staff pay to the Library Board members. The Library Board discussed the wage budget for the Library in 2019 and plans for 2020. Ashia Gustafson will get answers for questions addressed and bring back for the next Library Board Meeting. 5.3 Wireless Agreement Ashia Gustafson presented the wireless agreement to the Library Board members. The Library Board discussed the wireless agreement. James Rice moved to approve the wireless agreement. Kathy Miller seconded. Motion carried. 5.4 Carpet Ashia Gustafson updated the Library Board members on the bid process for the new carpet. The Library Board discussed plans for the new carpet. 6. Other Items & Reports 6.1 Financial Report Ashia Gustafson presented the review of the February 2019 budgets to the Library Board. 6.2 Librarian’s Report Ashia Gustafson presented the monthly report to the Library Board. Weather in February was horrible and impacted physical checkouts but the downloadable (eBooks/eAudiobooks) increased from last year. 7. Public Comment on Items not on Agenda 8. Next Meeting: Thursday, April 11, 2019 at 5:30 pm 9. Adjournment James Rice moved to adjourn the meeting. Sarah Meusburger seconded. The meeting adjourned at 6:52 pm.
