HomeMy WebLinkAboutSCABMinutes_2020_05_27 824 32nd Ave., Brookings, SD 57006 | 605-692-7539 | www.swiftelcenter.com Advisory Board Meeting Minutes Wednesday, May 27, 2020 @ Noon Zoom Meeting Present: Kyleigh Cramer, Jeff Holm, Teri Ronning, Jennifer Johnson, Laura Schoen Carbonneau; Nick Schmeichel; Erick Rangel, City of Brookings CFO; Tom Richter, Swiftel Center Executive Director, Jeremy Linstad, Swiftel Center Associate Executive Director, Andrea Hogie, Swiftel Center Director of Finance, Kristina Lankow, Swiftel Center Sales & Marketing Manager. Agenda Discussions:  Jeff called the meeting to order.  The January 29, 2020 minutes were approved.  April financials were presented. st  The 1 quarter event and attendance summary were presented.  Tom presented for Kristina (Sales & Marketing report) a press release went out about our front lobby windows full of hearts as part of the World of Hearts movement. On FaceBook was a month of Music Madness. Our website held a virtual Easter egg hunt. There have been some website updates which include videos of all our rooms and a promoter portal.  Tom presented for Matt (Director of F&B report) over 4,000 have been prepared for the 60+ Dining. All areas of food & beverage have been deep cleaned and organized. A new inventory control system is being implemented. Online training has been offered to all part time employees. Snacks and drinks that would expire before we reopened were put into care packages for the Brookings Hospital, Police Department and Fire Department. A garden has been started with vegetables and herbs.  No Associate Executive Director Report  Tom reported: o We received great reviews on the Brett Young concert. o The Willie Nelson concert is still scheduled for August 10, 2020 and the Beatles vs Stones concert is still scheduled for September 16, 2020. We were able to get tickets for both those shows and give them away to essential workers. o VenuWorks of Brookings LLC was able to get the PPP loan through SBA. That will cover payroll and utilities for two months. o The National Charolais show is still a go for July 5 – 12, 2020. We will be following all the CDC guidelines as well as all safety precautions. o We have had interest from the National Simmental to hold their cattle show here from July 11 – 17, 2020. 824 32nd Ave., Brookings, SD 57006 | 605-692-7539 | www.swiftelcenter.com o These cattle shows have required collaboration with other City departments – Landfill will be supplying us with 50 new brown carts to be used for manure disposal, Park & Rec will be supplying picnic tables and the use of the ice arena, Streets will be hauling the dirt in and out of the buildings. Also working with the CVB on an event grant. o With the COVID-19 pandemic a lot of the cattle show participants are using all our 32 RV spots. We are looking at temporarily expanding to accommodate more campers. o The two weeks of cattle shows will be our one and only chance to get a true picture of our economic impact on hotels and restaurants. There are no other city events happening during that time. o We have had weekly all staff zoom meetings. The employees working at the building have been taking their temps since the middle of April. The ticket office is reopen Monday- Thursday 10am to 4pm. o VenuWorks buildings are sending out fan surveys to get a better understanding of how people feel about returning to the live entertainment industry. o We have been working with the City on the new Performance Management Measures. Creating a 2020 forecast weekly with events changing and the possibility of having to furlough full time employees. Working on the 2021 Operating Budget as well as the 10 year CIP Budget which are due to the City at the beginning of June. o Medary Acres is donating the plants for the planters in the front of the building.  Next meeting Wednesday July 29, 2020 at NOON.  Jeff adjourned the meeting.
