Advisory Board Meeting Minutes
Wednesday, July 31, 2019 @ Noon

Present: Kyleigh Cramer, Jeff Holm, Rod Schaefer; Teri Ronning, Nick Schmeichel, Jennifer Johnson; Jake
Meshke, City of Brookings Assistant to City Manager; Tom Richter, Swiftel Center Executive Director,
Jeremy Linstad, Swiftel Center Associate Executive Director, Matt Chapman, Swiftel Center Director of
Food & Beverage, Andrea Hogie, Swiftel Center Director of Finance, Kristina Lankow, Swiftel Center Sales
& Marketing Manager.
Agenda Discussions:
Tom introduced Jenna Heilman our new Event Coordinator.
Jeff called the meeting to order. Jennifer Johnson will remain as the Chair.
The May 29, 2019 minutes were approved.
June financials were presented.

Tom presented the 2 quarter event and attendance summary.
Kristina presented the Wedding & Event folders that we give out to potential clients. She also
showcased the root beer floats promoter gifts that Tom gave out in Chicago and the coffee swag
given to potential clients. She highlighted the Christmas in July campaign. Some upcoming events
include Paw Patrol, Wing & Brew Fest, Midwest Maidens Roller Derby, DAV Poker Run, Doobie
Brothers concert, Pink Ladies Dart Tournament, HomeFree Concert, various meetings and wedding
receptions.
Matt mentioned that it is wedding reception season. There have been five since last meeting and four
more to go. Operations put up bistro lights in the arena for one wedding reception. Got Milk Gala
was five courses all with wine, 232 were served and over 1000 plates were used. The brew list for
Wing & Brew Fest was handed around. Matt & Tom have been discussing keg options with Beal.

Jeremy reported that we have been live with the Ungerboeck software upgrade since July 1. The
2020 operating budget and CIP have been submitted to the city. The 2019 budget forecasting is
showing building repairs (HVAC) and grounds maintenance (snow removal) were exhausted in the

1 quarter. Paw Patrol will have a couple days of rehearsals before their three performances. The
parking lot drainage tile project is in progress. The new free public WiFi is testing well.
Tom highlighted his strategic planning presentation given to the City Council. The City has hired a
private company to study all the city owned buildings HVAC systems and provide a schedule for

updates/replacements. The city has roughly 5 million to spend but the need is much greater. The
city’s sales tax collection so far this year has been down. He attended the IAVM VenuConnect
meetings in Chicago. Tom interviewed to be an instructor at the VMS school. HomeFree will be
here for their third Christmas show in December. We are already preparing for the National Charolais
show in July 2020. He sent around positive letters from clients as well as the VenuWorkers
newsletter. The new CVB director Laura has been hired and will be at our September meeting.
