RESOLUTION NO. 77-96
WHEREAS, the City of Brookings owns vehicles and requires City employees to operate
those vehicles in the perFormance of their duties and,
WHEREAS, these vehicles are to be maintained in order that they remain safe and
functional; and
WHEREAS, from time to time records are required to prove that proper maintenance has
taken place.
NOW, THEREFORE, BE IT RESOLVED that the Brookings City Commission hereby
approves the Vehicle Inspection Policy and Procedure.

Vehicle Inspection Policy and Procedure
Purpose: To provide a policy and procedure for the inspection of City vehicles for
safety and maintenance in order to provide City employees with
reasonably sa.fe and functional equipment. The inspection forms will
also provide documentation of the condition of the vehicle for insurance
purposes.
FrequencX: The frequency of the inspection will be set by each department.
Notation of the inspection will be made in a log book maintained in the
vehicle. The frequency of the inspection should be reflective of the
amount of time the vehicle is used and how critical it is to the operation
of the department.
Responsible Party(s):
The vehicle should be inspected by the user of the vehicle. Any problems noted on the
inspection must be either repaired immediately or the problem (along with inspection
sheet) given to immediate supervisor.
The immediate supervisor will either make repairs,order parts/make appointment to
repair vehicle or consult with Department Head to determine appropriate action. The
Department Head will then make the decision if the vehicle can be used before repairs
are made.
Copies of inspection forms requiring repairs shall be given to the Department Head. If
repairs cannot be made in a reasonable amount of time,a copy shall be given to the
Human Resources Officer for insurance purposes.
Inspection Team:
An inspection team shall be appointed annually by the City Safety Committee.
Members of the inspection team will be employees with background in mechanics or
operators of heavy equipment/trucks. The inspection team can be composed of
employees who are not members of the City Safety Committee.
The inspection team will inspect vehicles on an annual basis at a time coordinated with
the department head. A representative from the department will be required to
accompany the team on the inspection. The inspection team will be available to
provide technical advice as well as inspection work.
All reports of the inspection team will go to the Department Head as well as the
Human Resources Officer.
Maintenance of Inspection Forms:
The departmental log books and inspection forms will be kept on file at the
garage/shop office of the department for a minimum period of three years. Any
repairs done subsequent to an inspection will be noted on the form along with the da#e
and a description of the repair.

Inspection Form:
The City of Brookings Safety Committee will provide log books and assist with
preparation of the forms. However,if a department has a form that they are already
using that is more appropriate,the department form can be substituted at the
discretion of the Department Head.
