HomeMy WebLinkAboutLBMinutes_2017_05_11BROOKINGS PUBLIC LIBRARY BOARD OF TRUSTEES May 11, 2017 MEETING MINUTES The Board of Trustees of the Brookings Public Library met on Thursday, May 11, 2017 at 5:30 pm in the Historical Room of the Brookings Public Library. MEMBERS PRESENT: James Rice, Kathy Miller, Doug O’Neill, Janell Hoffelt, Deb Waltman OTHERS PRESENT: Ashia Gustafson, Jen Anderson 1. Call to Order James Rice called the meeting to order. 2. Approval of Agenda James Rice called for approval of the meeting agenda. Janell Hoffelt moved to approve the meeting agenda. Kathy Miller seconded. Motion carried. 3. Approval of Minutes James Rice would like to add last names when talking about a person. James Rice called for approval of the minutes from the April 13, 2017 meeting. Deb Waltman moved to approve the meeting minutes. Doug O’Neill seconded. Motion carried. 4. Old Business 4.2 Review of Library Board By-Laws: Discussion on the 14-2-35 about turnover and reappointments. Article I – Name section, James Rice would like the wording of “Compiled” changed to “Codified”. Ashia Gustafson will update the Library Board’s By-Laws as discussed. Janell Hoffelt moved to approve the Library Board By-Laws with added language. Kathy Miller seconded. Motion carried. 5. New Business 5.2 Approval of Bills The Board discussed the 2017 bills, budget and expenditures. Kathy Miller moved to approve the April 2017 bills. Deb Waltman seconded. Motion carried. 5.3 Presentation of Painting Ashia Gustafson presented the painting by Donna Lee Bartholow to the board members. The board members have some serious reservation about the painting. The board members are concerned about the image appropriateness and the trade mark (Free to be me). Discussion of the painting: James Rice asked if the Library is committed to the painting. Ashia Gustafson mentioned there is no ownership of the painting yet. The Library board members have approved of the sketch only. Library board members think the sketch does not look the same as the painting. Ashia Gustafson will be talking with Donna Lee Bartholow about maybe adjusting some of the board’s reservations. 6. Other Items & Reports 6.2 Financial Report Ashia Gustafson presented the review of the budget. Discussion: Doug O’Neill asked about the programs total amount. Ashia Gustafson informed him the programs are adult craft night, Gardeners, teen gaming, Anime club, and children’s programs. We can’t spend more than what we have in budget. If the Library spends more than in the account, a budget amendment will need to be completed. Doug O’Neill asked about the “Pass through” column. Ashia Gustafson mentioned it’s were money comes in and then goes out right out. The Library has two CD’s for Gifts account and one CD for Fines account. Deb Waltman asked about Postage. Ashia Gustafson said we budget for postage (Interlibrary loan, overdues, and lost items mailing) through the general account but has a section in Fines budget if needed. Discussion on Larson Grant: The Brooking Public Library has been approved for the Larson Grant! We will be getting new wireless connection and access points, as well as public computers. Larson Grant will be $20,812.08. The Library will also be able to purchase an additional computer with the extra funds from the Larson Grant. Also, the Library will be receiving a gift of money ($2,000) from Kathryn Cole Quinones (Will request). 6.3 Librarian’s Report Ashia Gustafson presented her monthly report to the Board. Summer Reading Program starts on May 24, at 9:30 am. Patrons can phone in but will need to stop in by the end of the day to keep spot. The Library had five opening and now we are fully staffed. Ashia Gustafson will be putting in the newsletter about the Larson Grant and Fine Forgiveness in June. Discussion: Doug O’Neill asked about printing from phone or home. Ashia Gustafson mentioned with MyPC system, you can now print from home or phone and have it sent to the Library. The system keeps the document in the system for 24 hours. Instructions are on the Library’s website under “How do I”. Doug O’Neill asked if SDSU students can get a Library card. Ashia Gustafson said yes, they can request a Library card the same as other patrons. The SDSU Library cards expire in June so we can get update address. Deb Waltman talked about her trip to Sturgis Library. She said it’s a wonderful Library. Doug O’Neill suggested budgeting for a charging station. Janell Hoffelt and James Rice talked about the ability to change the outlets to USB plug-ins. The Library will be closed on Monday, May 29th for Memorial Day. The next Board meeting will be Thursday, June 8, 2017 at 5:30 pm. Deb Waltman moved to adjourn the meeting. Doug O’Neill seconded. The meeting adjourned at 6:30 pm.
