BOARD OF TRUSTEES
August 11, 2016
MINUTES
The Board of Trustees of the Brookings Public Library met on Thursday, August 11, 2016 at 5:30 p.m. in
the Historical Room of the Brookings Public Library
MEMBERS PRESENT: Janell Hoffelt, Larry Rogers and Deb Waltman
OTHERS PRESENT: Ashia Gustafson, Alice Hayes, Cathy Enlow
Call to Order
Larry Rogers called the meeting to order.
Approval of Agenda
Larry called for approval of the meeting agenda. Ashia Gustafson requested the addition of Financial
Reports to the agenda. Janell Hoffelt moved to approve the meeting agenda as amended. Deb Waltman
seconded. Motion carried.
Approval of Minutes
Larry called for approval of the minutes from the July 14, 2016 meeting. Deb Waltman moved to
approve the minutes. Janell Hoffelt seconded. Motion carried.
Old Business
Book Challenge
Ashia has not heard any further from the patron.
Fine Forgiveness
Ashia said this is going well. We have received a lot of donations for the Back2School Project in lieu of
cash payment of fines.
Strategic Planning
Board consensus was that the process should begin in September. Larry said we need to identify people
we want to be part of the project. Make a short list of people to contact. Then ask for volunteers via the
City of Brookings website. Look for 12-14 people, maximum, who are community- knowledgeable. Larry
suggested contacting Andy Stremmel and Mary Moeller for recommendations. They are part of early
education and teacher learning and leadership at SDSU. Kristi Tornquist at Briggs Library would also be a
good resource. We should also contact the Brookings County Commission for a representative. Larry
also suggested talking to John Kubal. Janell suggested including a mix of ages and demographics. Ashia
will check with Ali for recommendations of teens or college students to take part. In the past, we have
included people from the school system and businesses, such as realtors and Chamber of Commerce
members. Deb suggested we include someone from Brookings County, outside city limits such as Elkton,
Volga, White or Bruce. Larry noted the importance of County Commission involvement so members see
the value of the Library. He suggested contacting Tom Yseth. Ashia will get to work on a list of people to
contact. If Board members think of someone, it is OK to contact them directly, or let Ashia know and she
will contact them.
New Business
Approve July Bills
Ashia noted that our utility bill was $7,398.84 in July, which is unusually high. Ashia investigated, and
discovered that the Library does not have an irrigation meter. So we were being billed overages for
water. Ashia has contacted Courtesy Plumbing and Brookings Municipal Utilities about getting an
irrigation meter installed. Cost would be $730.00 for the plumber to install the meter and $550.00 from
the city for the meter. Deb Waltman moved to approve the July list of bills. Janell Hoffelt seconded.
Motion carried.
Holiday Hours
Ashia spoke with the Board about holiday hours at the Library. Janell Hoffelt moved that the Library
close early at 5:00 p.m. on Wednesday, November 23, the day before Thanksgiving, and that the Library
be closed all day on Saturday, December 24, Christmas Eve. Deb Waltman seconded. Motion carried.
SDLA Annual Conference
The SDLA Annual Conference is September 28-30 in Watertown. The Library will pay the registration fee
for Board members who would like to attend. Elvita Landau will be doing a session on trustees. Let Ashia
know if you want to attend.
Other Items and Reports
Financial Reports
The Board reviewed the July financial reports.
Librarian’s Report
Ashia presented her monthly report to the Board.
The next Board meeting will be Thursday, September 8 at 5:30 p.m. Larry requested that the October
meeting be held on October 20 rather than October 13. The Board agreed.
Janell Hoffelt moved to adjourn the meeting. Deb Waltman seconded. The meeting adjourned at 6:07
p.m.
