Promotions Committee
Meeting Minutes – November 28, 2011
City Hall
Present: Leah Brink, Jameson Berreth, Victoria Blatchford, Amy Einspahr, Lynn Darnall,
Rob Peterson, Tom Jones, Tom Richter, Jeff Weldon and Bridgit Burghardt.
Chairperson Blatchford called meeting to order at 12:20p.
October 24 Minutes: Jones motioned to approve, Einspahr seconded. Motion carries.
Financials: Berreth motioned to approve, Jones seconded. Burghardt mentioned the
2012 financials were included in the packet. As 2011 ends, the 2012 financials will be
updated and any carryover will be included in the 2012 financials. Motion carries.
Branding Update: Jones questioned if the billboards have been updated? Darnall
responded they were not as of this weekend. Burghardt will follow up with Lamar on
getting a new design for the billboards. Einspahr mentioned the must dos for branding;
wondering if there is a way to measure the return on those. For example, the movie
theatre ad, is there a way to measure the return? Blatchford explained Koroglu felt this
would help build the brand with the community. The brand manager will need to keep the
movie ads fresh, changing them every 3-6 months. Brink requested a reminder regarding
the Children’s Museum co-op. Blatchford explained this is a co-op with the Children’s
Museum. When children come to the museum on a group tour, they are given one free
ticket to be redeemed at a later date. We only pay if the tickets are redeemed. This is
providing a huge return. On average, every ticket is bringing 3.41 people back with them.
The Children’s Museum is also tracking demographics and zip codes and they are
providing us with the information. Families are coming and spending time in Brookings.
Convention Report: Burghardt mentioned Garbers provided an updated report in the
packet. The report has not changed much as the funds are committed.
Brand Manager Contract Discussion: Blatchford informed the committee that the
talking points have been sent to the Mayor and he is reviewing the talking points.
Brookings is in need of a comprehensive visitor strategy that incorporates a collaborative
visitor attraction plan and a strong, marketing strategy. A key component of the strategy
includes a marketing coordinator to continue the City of Brookings Marketing Plan that
has been set in place by our most recent Brand Manager and to maintain the integrity of
the new brand.
The subcommittee consists of Peterson, Brink, Einspahr, Koroglu and Blatchford. The
subcommittee feels this would be need to be a full time position, housed out of the CVB.
The structure is in place, as it would be similar to the Community Events Coordinator.
All of the stakeholders would contribute, but a large portion of the funding would come
from the VPC. Blatchford explained we wanted the ok to talk to the other key
stakeholders and explain why it is important to them. Weldon questioned if we have laid
out what we want this position to accomplish? Do we have a plan or are we putting the
cart before the horse? Blatchford mentioned we have a marketing plan with long and
short term results. Weldon questioned how this would work with the CVB? Blatchford
responded it would go hand in hand. Blatchford added it fits well under the CVB. We
want to be most efficient with our resources, the best return on investment. Peterson
added we would need to get expectations from the entities involved. Darnall questioned if

the committee, with Burghardts help, will handle the billboard update? Blatchford
responded yes.
December Meeting Date: Darnall motioned to cancel the December meeting, Brink
seconded. Motion carries.
Einspahr motioned to adjourn, Jones seconded. Meeting adjourned at 1:15p.
