HomeMy WebLinkAboutSCACMinutes_2007_11_29Swiftel Center Advisory Committee Meeting Minutes Thursday November 29, 2007 @ 4:00pm Swiftel Center Mezzanine Conference Room Present: Rod Schaefer, Matthew Nelson, Barb Telkamp, Tom Richter, Swiftel Center Executive Director; Scott Smith, Swiftel Center Operations Director; Connie Isham, Swiftel Center Business Manager Agenda Discussions: ¾ Rod called the meeting to order. Barb moved to approve the minutes from September 27, 2007. It was seconded. The motion passed. ¾ September & November financials were presented. Tom mentioned that we have taken a $50,000 loan from the city through the end of 2007. Connie mentioned that it will show up in the December financials. ¾ Tom presented the Events, Event Days & Attendance. We are on track with the budget but compared to last year we are down. Connie presented the 3rd quarter Economic Impact which is based on attendance at the events. ¾ Daktronics won the bid for the outdoor marquee. The bid came in lower than expected. Daktronics is assembling the sign and it will be installed sometime in January 2008. The new sign will be raised 10-12 feet, 6x bigger and full color. ¾ Upcoming events include: Daktronics holiday parties – which had to be split into three different nights to accommodate approximately 1900 people, Rainbow holiday party, 3M holiday party, various other holiday parties, Temptations Christmas Concert – we are working with a new promoter from Omaha on this concert, Swiftel Center Basketball classic is at the end of December. The 12 boys teams will play on the 27th and the 14 girls teams will play on the 28th. We are always looking for more sponsors for this event. A majority of the revenue goes back to the teams (every team gets t-shirts), the schools get mileage and a percentage of the ticket sales. We pay all the expenses. There is also a 4H calf show on the 27th & 28th of December in the holding barn. A wedding reception on December 28th. The living history fair will be here at the end of January 2008. This has previously been held in Watertown. The Midwest Supercross was held over Thanksgiving weekend and will be here again in January. The Rob Zombie concert on November 5th went well. ¾ Tom mentioned that the market study will be wrapping up by the end of 2007. The City & County had a joint meeting. They discussed the city buying the county office space because the county is looking at building a new building that could house all the county staff. If the city buys the county space, we could use that as additional office space. The red rink issue was also discussed at the meeting. BISA does not want animals on that rink. We need that space for the larger horse shows. Also, the last liquor license may be given out in February 2008. That could affect our expansion with a hotel. ¾ We are in the VenuWords newsletter for the Wing festival. ¾ Tom mentioned that we were able to give approximately $9,700 to the Avera Medical Clinic for cancer awareness this year from the Tough Enough t-shirt campaign. Tom has also been working on getting more signage sponsors. ¾ Tom presented the letter from a concerned citizen about the Rob Zombie concert that was given to the Mayor. The board didn’t feel that we had to respond to this letter. ¾ Jenny is finishing her maternity leave and will return on Monday December 3rd. ¾ Scott mentioned that we had a staff training presented by Lindsey Peters of VenuWorks. The training covered customer service and emergency plans. VenuWorks is forming an emergency template for all their facilities to adapt. We are also working on CIP projects like the fence out back and basketball flooring storage shelving. Tom and Scott have been interviewing candidates for a full time Conversion Supervisor in which they anticipate making an offer on Friday. Treat America added a full time banquet coordinator (Abby) who will be in charge of front of house items. ¾ Other comments that were brought up: there were some negative comments about the service at the Festival of Champions banquet. It will help having a full time banquet coordinator hired. The tree looks nice in the lobby. We received this one from someone who lives near the country club and will get another one next year from the same person. ¾ Rod adjourned the meeting. Next meeting January 31, 2008 at 4:00pm.
