Agenda Discussions: ¾ Rod called the meeting to order. Tom asked if the minutes were giving enough information without getting too detailed. Tom also pointed out a few changes to the May 31st minutes. Matthew moved to approve the minutes from May 31, 2007. Barb seconded. The motion passed. ¾ May & June financials were presented. Connie mentioned that there is a narrative and comparisons for each month. The 2006 comparisons will be off but going forward 2007 will be accurate. Connie also mentioned that the auditors have checked the books and it is all in order. ¾ Tom presented the Economic Impact. Attendance drives the economic impact not event days. Advertising gets figured into the economic impact. ¾ Tom and Scott are working on the specifications for the sign. The variance for the outdoor marquee was approved. The new marquee will be 10ft higher than the current one but will be able to use the same footings. The location isn’t right to have a marquee that would impact the interstate traffic. It is more of a main entrance sign. ¾ Upcoming events include the Lipizzaner Stallions August 31st. The second Wing Festival will be September 8th from 2-9pm. It is right between the Harvest Festival down town and the Fireman’s dance that night. Pink Floyd Experience is September 22nd. This is the first concert that the Swiftel Center is co-promoting and is at risk of losing money. There is a city fund set aside in case the concert would lose money. ¾ Tom is continuing to work on the building expansion project. We are looking at lost business because we don’t have a convention center. Also, looking at the potential business we could have if there was a convention center. There will be a meeting in September with the city officials. ¾ Tom presented 2008 budget. Tom explained the narrative part which is new for us. The City of Brookings budgets money for capital improvements at the Swiftel Center. The last couple of years it was $70,000. In the 2008 budget, we requested $274,000. The operating budget request of $309,000 was left intact but the capital improvements were adjusted to $250,000. The budget goes to the city manager first and then on to the council for approval. ¾ Tom has been working on concerts. Johnny Holm is September 5th. Other offers that are out include Rob Zombie, Jim Brinkman (pianist), Mulberry Lane (sisters from NE), Oakridge Boys. Some of the concerts we did not get 3 Days Grace & Breaking Benjamin, Willie Nelson, Snoop Dog, Cowboy Crush. Tom and Scott attended the IAAM conference in Salt Lake City Utah, July 19-24. Compass is now VenuWorks. ¾ Jenny provided calendars of the August and September events. The events in red are catering events. In August there is less events so that provides time to do maintenance in the building. ¾ Scott mentioned that the garbage pad is done. The horse shows are done and we are out of the ice arena. They have been renovating the concession stands with new paint. They are working in the storage rooms to make more space. One capital improvement we are going to make is a rolling fence behind the building that can be closed off for events. 4H Achievement Days is next week. We are trying something new by bringing in only ¼ of the dirt and using rolled roofing for walking areas. Hopefully it will be less mess and cut down on the dust. ¾ Other comments: Deanna mentioned that the flags are looking bad. Scott ordered new ones today. Barb asked if the new banquet facility that is being built will have an impact on us. Jenny commented that if they are on the higher end of catering like we are then maybe but they also don’t have a hotel attached or nearby. ¾ Matthew made a motion to adjourn the meeting. Barb seconded the motion. Motion passed. Next meeting September 27, 2007 at 4:00pm.
