BOARD OF TRUSTEES
June 11, 2013
MINUTES
The Board of Trustees of the Brookings Public Library met Tuesday, June 11, 2013 at 5:30 p.m. in the
Historical Room of the Brookings Public Library
MEMBERS PRESENT: Bill Gengler, Mac Harris, Janel Hoffelt, Larry Rogers and Gloria Thvedt
OTHERS PRESENT: Elvita Landau, Alice Hayes and Cathy Enlow
President Mac Harris called for approval of the meeting agenda. Larry Rogers moved to approve the
agenda with the addition. Janel Hoffelt seconded. Motion carried.
Mac Harris called for approval of the minutes from the May 14, 2013 meeting. Gloria Thvedt noted a
correction, as the date in the minutes appeared incorrectly as April 9. The correct date is May 14, 2013.
Bill Gengler moved to approve the minutes with this correction. Gloria Thvedt seconded. Motion carried.
Bills and Salaries:
Elvita Landau presented a brief overview of the list of bills. Larry Rogers moved to approve the list of
bills. Gloria Thvedt seconded. Motion carried.
Financial Report:
Elvita Landau advised that we have not yet received a bill from SDLN for $31,000.00 for computer
services. The bill will probably be coming this month. The Library went over budget on the advertising
line item. This was anticipated, and future advertising expenses for the year will be paid from the Fines
Account.
Librarian’s Report:
Axis 360 is now online on our website. We have not had many hits at this point.
A book discussion of Danielle Sosin’s The Long Shining Waters is scheduled for July 9. Sosin will give a
presentation at the Library on July 14. Her book is the 2013 South Dakota Humanities Council’s One
Book South Dakota selection
As of today, 1331 children and teens are registered for the Summer Reading Program. 1312 attended
activities during the first week of the program, June 3-7.
Elvita Landau is preparing the Library Survey, which will begin on June 17. There will be a paper version
for people who visit the Library. There will be two on-line versions; one for people who have used the
Library within the last year, and another for people who have not used the Library within the last year.
The Library Board discussed the questions to be included in the surveys.
The East River Librarians met at the Library last week. There was discussion of the SDLN software
decisions. Some of the public libraries are feeling marginalized by the academic libraries during the
selection process.
The Watertown Public Library will have an OverDrive Book Mobile at their location on June 22. The Book
Mobile will feature a Gadget Gallery so that patrons may try out OverDrive on various electronic
devices.
Budget and Narrative:
Elvita Landau explained that the City of Brookings has requested the proposed 2014 budget for the
Library in a narrative format, as well as a spreadsheet. Some changes from the current budget include
deletion of the office equipment maintenance line item, and trimming the requested amounts for
cleaning supplies, utilities, cleaning service, and postage.
Gloria Thvedt moved to approve the proposed budget. Bill Gengler seconded. Motion carried.
Mango Tree Coffee contract:
The Library Board discussed the Concessionaire Agreement to be signed by the City of Brookings and
Harsha Mistry. There was discussion of the need for consistent hours of operation. Suggestions included
the possibility of setting a specific number of hours per week that the coffee shop would be open, as
well as the possibility of cutting evening hours if business was slow during that time. Harsha Mistry was
called into the Board meeting to join the discussion. She stated that 10:30 a.m. to 7:00 p.m. are her
current hours. On Saturdays, the shop is not busy in the morning, or even for lunch, but business picks
up between 2:00 and 4:00 p.m. Summers are slower. SDSU students are at the shop studying until 9:00
p.m. during the school year. There was an agreement at the meeting that Mango Tree will be open from
10:30 a.m. to 7:00 p.m. Monday through Thursday, and 10:30 a.m. to 5:30 p.m. on Friday and Saturday.
Mango Tree will be closed on Sunday. The Library Board will wait until the July 9 Board meeting to vote
on approval of the agreement to allow Harsha time to review the document.
The next Library Board meeting will be on Tuesday, July 9, at 5:30 p.m..
Larry Rogers moved to adjourn the meeting. Bill Gengler seconded. The meeting adjourned at 6:55 p.m.
