HomeMy WebLinkAboutLBMinutes_2013_02_12BROOKINGS PUBLIC LIBRARY BOARD OF TRUSTEES February 12, 2013 MINUTES The Board of Trustees of the Brookings Public Library met Tuesday, February 12, 2013 at 5:30 p.m. in the Historical Room of the Brookings Public Library MEMBERS PRESENT: Bill Gengler, Mac Harris, Janell Hoffelt, Larry Rogers and Gloria Thvedt OTHERS PRESENT: Elvita Landau, Alice Hayes and Cathy Enlow President Mac Harris called for approval of the meeting agenda. Larry Rogers moved to approve the agenda. Janell Hoffelt seconded. Motion carried. Mac Harris called for approval of the minutes from the January 8, 2013 meeting. Larry Rogers moved to approve the minutes. Gloria Thvedt seconded. Motion carried. Bills and Salaries: Elvita Landau explained that the City of Brookings has instituted the use of Wells Fargo purchase cards, intended to replace accounts payable issuing checks for products and services. The Library will need to send purchase card information to the City Finance Office prior to the monthly Library Board meetings. Elvita Landau asked the Library Board if it would be alright with the Board if the Library reported what has been spent, rather than receiving Board approval prior to paying the purchase card balances. The Library Board indicated that this was acceptable. Larry Rogers moved to approve the list of bills. Janell Hoffelt seconded. Motion carried. Financial Report: Not much has been spent yet this year. We have used all of the postage allotment to fill the postage meter for the year. A new report was provided to reflect the receipts and expenditures of the Gifts Account. Librarian’s Report: • A computer basics class will be offered next week. Registration is full. • Nita’s ereader classes had 35 people in attendance at each. • 106 attended the Theodore Roosevelt program • Paperwork has been received and is being completed for the Library’s new ebook service from Baker & Taylor. • Things that came up today: Fire alarm system – The police station no longer responds to the alarm. Automated Building Controls will provide the service at a cost of $620.00. Larry Rogers/Gloria Thvedt moved to approve a contract with ABC. • The Library has received a request from Brookings County. They are switching to Microsoft Office 2010 and are looking for training in Outlook, Word, and Excel. Fifty county staff members would need training. They would like to use the Library to teach the classes. Elvita and Vince Landau would probably conduct the training. The Board agreed that Elvita Landau could put a charge on the proposal requested by the county, if it was warranted. • Tuesday and Wednesday of next week, the Library is scheduled to have new equipment installed through the Broadband Initiative Grant we received. 100th Anniversary Update: Plans continue to be developed for April’s 100th Anniversary celebration. Elvita Landau requested that the Library Board members be present for the reception on April 14 at 1:30 p.m. The mayor will have a proclamation. Library staff will be at various stations providing demonstrations. Other programs include YA author Pete Hautman, a Theodore Roosevelt film, a program by John Miller on George McGovern, a puppet show, and the Illustrate-a-Book awards ceremony. Policy Review: Suggested changes to the meeting room use policy were discussed, including the for-profit charge and no use of candles. Janell Hoffelt/Gloria Thvedt moved to approve the changes The next Library Board meeting will be on Tuesday, March 12, 2013.
