HomeMy WebLinkAboutLBMinutes_2012_05_08BROOKINGS PUBLIC LIBRARY BOARD OF TRUSTEES MAY 8, 2012 MINUTES The Board of Trustees of the Brookings Public Library met Tuesday May 8, 2012 at 5:30 p.m. in the Historical Room of the Brookings Public Library. MEMBERS PRESENT: Bill Gengler, Mac Harris, Janell Hoffelt, Larry Rogers and Gloria Thvedt OTHERS PRESENT: Elvita Landau, Cathy Enlow and Peg Whalen Chair Mac Harris called the meeting to order at 5:30 p.m. Larry Rogers moved to accept the agenda as presented. Bill Gengler seconded. Motion approved. Larry Rogers moved to approve the minutes of the April 10, 2012 meeting. Gloria Thvedt seconded. Motion carried. BILLS AND SALARIES – The Board reviewed the April 2012 bills. Bill Gengler moved to pay all bills and salaries. Janell Hoffelt seconded. Motion approved. FINANCIAL REPORT – The Board examined the current budget report from the City Finance Office. Although most line items are well within budget, the building maintenance and travel line items will need to be closely watched. LIBRARIAN’S REPORT – Items of note are: • Registration for the summer programs for children, teens, and adults is May 29th. The theme this year is “Dream Big, Read” for children and “Own the Night” for teens • As part of National Bicycle Month, on May 17 we will serve lemonade prepared using a bicycle powered blender. • A computer class focusing on using “Pinterest” will be May 24th. • Three vendors have been chosen by the SDLN Executive Committee and Advisory Board in response to the RFP for an integrated library system. These vendors will make presentations from May 21-25. • The local General Federated Women’s Club won a state reading contest and will be donating the winning check to the Library. GIFT OF ARTWORK – A local patron would like to donate two pieces of art (African Face masks) to the library with the approval of the Board as per policy. Following discussion Larry Rogers moved to respectfully decline this generous gift of art. Bill Gengler seconded. Motion approved. PRELIMINARY 2013 BUDGET DISCUSSION - Elvita presented a preliminary budget for 2013 and 2014 to the Board. The salary and dependent tax payment lines will be determined by the Union Contract which will be negotiated this summer. Overdrive expenses were moved to the Computer Services line item from AV and Adult materials. The Janitorial contract will be up for bid in 2013. Other line items remained the same as the 2012 budget. The Board decided to review the proposed budget again at next Board meeting. The Library received the Request for Funds from Brookings County. The Library has received $25,000 a year for the last twelve years. Following discussion, Gloria Thvedt made a motion to request $35,000 for 2013. Bill Gengler seconded. Motion approved. TECHNOLOGY PLAN – Elvita presented the Library Technology Plan for 2012-2016 to the Board. The plan was designed by Elvita, Cathy Enlow, and Michael Ross. After reviewing the document, Larry Rogers moved to approve the plan. Janell Hoffelt seconded. Motion carried. REQUEST TO USE MEETING ROOM – There have been two requests to use the Cooper Room from groups that would charge a fee. 1. CPR instruction for Day Care providers – a CPR instructor requested to do a CPR class for local Day Care providers for a minimal fee. Following discussion Larry Rogers moved to approve the request. Gloria Thvedt seconded. Motion approved. 2. OLLI – This group offers Life Long Learning opportunities for people over 50. They have requested to use our rooms for some of their classes. Following discussion Janelle Hoffelt moved to approve three classes for the fall session and then the Board will re-evaluate for the following session. The motion was seconded by Gloria Thvedt. Motion approved. POLICY REVIEW – HISTORICAL COLLECTION – This policy delineates how and what we purchase for the Historical collection as well as what we will accept in donations.
