Approval of Agenda Bill Gengler called for approval of the meeting agenda. Larry Rogers moved to approve the meeting agenda. Kyle Schaefer seconded. Motion carried. Approval of Minutes Bill Gengler called for approval of the minutes from the January 8, 2015 meeting. Kyle Schaefer moved to approve the minutes. Larry Rogers seconded. Motion carried. Approval of January Bills Larry Rogers moved to approve the January list of bills. Kyle Schaefer seconded. Motion carried. Annual Report to the Library Board Elvita Landau presented on overview of the annual report. Larry Rogers moved to approve the annual report. Kyle Schaefer seconded. Motion carried. The report will be sent to the City Council. Library Coffee Shop Elvita said that there had been a couple of inquiries, but no responses to the Request for Proposal for the Library coffee shop. Larry Rogers and Mac Harris will follow up on one suggested vendor before the next board meeting. The board members discussed that a possible negotiating point might be the hours of operation. Policy Review – Website Selection Elvita Landau and Nita Gill reviewed the current Website Selection Policy and made it more precise. Kyle Schaefer moved to accept the revised policy. Larry Rogers seconded. Motion carried. Selection of Software for Integrated Library System Elvita Landau stated that the Library staff has been looking at two systems and checking references from other libraries that used their services. Elvita requested permission to enter into contract negotiations with The Library Corporation (TLC). This web-based system is used by 4,500 libraries, is user friendly, and has a nice children’s catalog. Larry Rogers moved to approve the request to proceed with contract negotiations with TLC. Kyle Schaefer seconded. Motion carried. Library Strategic Plan Elvita noted that the Library Strategic Plan information was also included in the Library’s Annual Report. Engage Brookings Discussion The Board discussed their familiarity with Engage Brookings, a social media option designed to get feedback from the citizens. Elvita shared the responses to four library questions previously posted on the site. The City wants the Library to generate questions to be posted in the future. The Board discussed possible ideas. Bill Gengler suggested an emphasis in some other venue on the potential use of Playaways by walkers and travelers. Financial Reports Elvita explained the updated/amended 2014 end-of-year spreadsheet. We did go over budget on several items, including building maintenance for ballasts, utilities, and capital less than $5,000 for staff furniture. There were also some additional bills that were paid from the Gifts Account for fiscal year 2014. Librarian’s Report Elvita noted that print and electronic circulation broke even with last year. Zinio checked out 160 magazines in one month. Book clubs are meeting solidly. Fifty people attended the first A Life Examined event. Future events focusing on the life of Eleanor Roosevelt include a showing of an American Experience program about her life, a book discussion of her autobiography, and a historical re-enactor. The Library has hired a Children’s Assistant and a Library Assistant. Elvita shared information about a “Digging Deeper into Primary Sources” webinar sponsored by the South Dakota State Library on March 6, and invited Board members to take part. The next Board meeting will be held on Thursday, March 12, 2015 at 5:30 p.m. Larry Rogers moved to adjourn the meeting. Kyle Schaefer seconded. Motion carried. Downloadables from all sources showed 5,783 uses in February, up from 2014. Our new Zinio digital magazine service had 153 downloads. February computer use was about the same when compared to last year: 2014 – 2,182, 2015 – 2,108. Computer related questions requiring staff assistance numbered 146 in February. Registered borrowers now stand at 11,975 as of 3/1/15. We added 532 items to the collection and withdrew 524. Door count for February was 12,950. PROGRAMS/PUBLICITY Register column topic: Digital options at the Library Radio shows: I will do five this month. Adult The Library Book Club will meet on Tuesday, March 10 at 6:30 to discuss the book Tell the Wolves I’m Home by Carol Rifka Brunt. April’s book is the Last Breath by Kimberly Belle. (April 14) The Non-Fiction Book Club will not meet March 23 to allow participants to hear author Kristen Iversen speak at the Great Plains Writers’ Conference. Booked for Murder will meet at noon on Monday, April 6 to discuss author Val McDermid. The next Common Good Film is Chasing Ice on March 17 at 6:30pm at the South Dakota Arts Museum. Our fourth A Life Explored series features Eleanor Roosevelt. The two final programs are the March 19 discussion of The Autobiography of Eleanor Roosevelt and the April 9 program featuring Susan Marie Frontczak as Eleanor during the war years. “Draw, Read, Win” is the theme for the spring adult reading program which runs through April 17. John Miller will be speaking about the Laura Ingalls Wilder book on April 13 at 7 pm. Children Family Science nights are on the fourth Tuesday of the month. The February 24 one was cancelled due to Katherine’s illness. March 31 is the next scheduled event. Spring Story Times will be ending the week of March 23. On April 1, Katherine and Samantha will present a program called “What’s the Big Idea – with Mother Goose”. This is a preview of a series that will be presented monthly beginning this fall and reflects our Strategic Plan Service Role: Create Young Readers: Early Literacy. Teen The Brookings Library Puppeteers will present the show “Musical March” on March 12 at 7 pm. Anime Club continues with enthusiastic attendance. Regular attendees have bought club t- shirts to reflect their participation. PERSONNEL/TRAINING I have six personnel reviews in March. We have hired Megan Wettlaufer as Library Assistant position. She began on February 13. The staff have been trained on the city’s new BKD Integra Report service which allows staff to anonymously report breaches in ethics by city employees or elected officials. SOUTH DAKOTA LIBRARY NETWORK UPDATE Negotiations have proceeded and I have received an Order Confirmation Letter from TLC. They offered an additional discount. If we pay our hosting fee upfront for three years, the 4th and 5th are free. I have sent the Letter and supporting documentation to the City Attorney for review. OTHER The Friends of the Library Spring Book Sale is March 4-8. The Friends Board meets March 25 to spend the proceeds, among other topics. The South Dakota Digital Group members will meet in Mitchell on March 24 to discuss cooperation. I am on vacation March 13.
